The Communication Step Most Businesses Underestimate
An office move has a physical side and a communication side. Most businesses plan the physical move carefully — the movers, the floor plan, the IT setup — and underestimate the communication side until an important delivery arrives at the old address, a client shows up at a vacant office, or a government notice bounces because the registered address has not been updated.
A systematic address-change communication plan takes a few hours to execute and prevents weeks of confusion. Here is a complete checklist and a template notice you can adapt immediately.
Who Needs to Be Notified
Before writing a single email, map out every party that holds your old address. This list is typically longer than businesses expect:
Clients and Customers
Any client who visits your office, sends physical correspondence, or whose invoices list your address needs to be updated. For businesses with a large client base, segment your clients by how they interact with your address: regular visitors get a personal call or email; occasional contacts get an email broadcast; all contacts should receive a formal written notice.
Vendors and Suppliers
Every vendor who delivers to your office or sends invoices to your address: stationery suppliers, pantry vendors, courier companies, equipment maintenance contractors, and any service provider whose engineer visits the office.
Government and Regulatory Bodies
- GST registration — a change of business address requires an amendment to your GST registration through the GST portal. This should be done within 15 days of the address change.
- Registrar of Companies — if your business is a private limited company or LLP, the registered office address must be updated with the Ministry of Corporate Affairs. This involves filing Form INC-22 or equivalent.
- Shop and Establishment registration — update with the local municipal authority
- Professional Tax and Labour registrations if applicable
- Import-Export Code (IEC) if your business trades internationally
Banking and Financial Institutions
- All current account banks — in-person branch visit with a letter of request, new address proof, and authorised signatory signature is usually required
- Credit card providers and loan accounts
- Payment gateways and online banking portals
- Insurance companies for all business policies
Digital and Online Presence
- Google Business Profile — update your address immediately; incorrect Google listings lead clients to the wrong location
- Your website's contact page and footer
- Your email signature
- All social media profiles — LinkedIn company page, Facebook, Instagram
- Business listing directories — Justdial, Sulekha, IndiaMART, and any industry directories your business appears in
- Your domain WHOIS registration contact details
When to Send Notifications
Timing matters. Too early, and clients may forget by the time the move happens. Too late, and deliveries and visitors have already gone to the wrong address.
- Four to six weeks before the move — notify key clients and major vendors. Give them the new address and effective date. This is also when you should begin the government registration updates, which take the most time to process.
- One to two weeks before the move — send a formal notice to all clients and the broader vendor list
- Moving day — update all digital channels: website, Google listing, email signatures, and social profiles. These should go live on the day the new office opens, not before.
- First week at the new address — follow up with any parties who have sent correspondence to the old address to confirm they have updated their records

One Week After the Move: Confirm Receipt
Send a brief follow-up to your key clients and vendors one week after the move date to confirm that they have received and noted the new address. For high-value relationships, a personal phone call is more appropriate than a follow-up email.
Also arrange with your old building's management to forward any mail that arrives at the old address for at least three months after the move — it is surprisingly common for some parties to use the old address despite being notified.
