The Last-Minute Booking Problem
One of the most common moving mistakes in India is leaving the booking too late. The scenario plays out predictably: the move date is fixed, packing begins, and then someone calls a moving company two or three days before the move only to find that every reputable company in the city is fully booked. The options that remain are either significantly more expensive or significantly less trustworthy.
The solution is simple: book earlier than you think you need to. Here is how much earlier, broken down by season and move type.
Why Early Booking Matters
Moving company capacity is fixed. A company with five trucks can complete five moves per day. During peak periods, every slot is claimed days or weeks in advance. The companies that are still available at short notice during peak season are either very small, very expensive, or available for a reason — such as a high volume of complaints that keep customers away.
Booking early also gives you leverage: you have time to get multiple quotes, compare them properly, and negotiate. A booking made under time pressure is rarely a well-negotiated one.
Peak Season: Book 3 to 4 Weeks in Advance
These are the periods when moving companies are at or near full capacity, and slots for reputable companies fill up fast:
- March to May — the most active period in India. Financial year ends in March trigger corporate relocations. Academic year ends in April and May trigger family moves to new cities for admissions and jobs. This is the busiest period of the year for moving companies across the country.
- September to November — the post-monsoon peak. Many households that delayed a planned move to avoid the rains move during this window. Festival season (Navratri, Dussehra, Diwali) also generates its own wave of auspicious move dates that compress demand into specific calendar windows.
- Month-end dates in any month — most lease agreements end at the end of the calendar month. The last three days of any month see a spike in demand as households whose leases end simultaneously try to move. If your move date is month-end, add an additional week of lead time to your booking.
During peak periods, booking three to four weeks in advance for a weekend move is the safe approach. For a peak-season weekend move at month-end, four weeks is genuinely the minimum.
Off-Peak Season: 1 to 2 Weeks Is Usually Sufficient
During non-peak periods — July, August (mid-monsoon), December (holiday season), January, and February — moving companies have more available capacity. One to two weeks of lead time is typically enough to secure a slot with a reputable company.
Even in off-peak periods, weekends are busier than weekdays. If you have schedule flexibility and your move can happen on a Tuesday or Wednesday, lead time of even five to seven days is often sufficient.
Long-Distance Intercity Moves: Add Extra Lead Time
Intercity moves require more lead time than local moves, regardless of season. Companies need to:
- Schedule an appropriately sized truck for your route
- Coordinate the truck's return journey or next booking
- Plan the multi-day transit schedule including driver rest stops
For a long-distance move (above 500 km), book at least three weeks in advance in off-peak periods and four to five weeks in advance during peak season.
What Happens When You Book Too Late
If you find yourself two to three days before a peak-season move date with no booking, your options are:
- Adjust the date if possible — even shifting the move by a week opens up significantly more availability from reputable companies
- Accept a weekday move — weekday slots during peak periods often have more availability than weekend slots. If your schedule allows a Monday or Tuesday move, you may find a good company available
- Use a broker cautiously — moving brokers can sometimes find last-minute capacity, but the quality of companies in the last-minute pool is inconsistent. Apply all the usual vetting criteria before committing.
What to Do Once You Have Decided on a Move Date
As soon as you know your move date with reasonable certainty — even before you are ready to confirm all the details — contact two or three moving companies to enquire about availability for that date. This is not a commitment; it is a test of the market. If a reputable company says they are already booked for your date, that is your signal to book immediately rather than waiting.
Confirm and pay the booking deposit as soon as you have selected your company. An unconfirmed quote is not a booking — the slot is not held until a deposit is paid and a written confirmation is received.
