Why Businesses Choose the Weekend Move
Every hour your office is down during a weekday relocation costs money — in lost productivity, delayed client communication, and staff sitting idle. That is why most smart businesses schedule their office shift for the weekend. A well-planned Saturday-to-Sunday move means your team walks into a fully functional new office on Monday morning without missing a single workday.
It sounds tight. But with the right plan, it is entirely achievable. Here is how to do it.
Four Weeks Before: Planning and Coordination
A weekend move does not happen on the weekend — it is the result of four weeks of preparation.
Choose the Right Moving Company
Not every moving company handles commercial relocations. You need a company with experience moving office furniture, IT equipment, and filing systems. Ask specifically about their commercial moving credentials, weekend availability, and whether they provide a dedicated project manager for the shift.
Create a Detailed Floor Plan for the New Office
Before moving day, you need to know exactly where everything goes in the new space. Create a labelled floor plan and share it with both your internal team and the movers. Every department, every workstation, every storage room should be marked. Movers who arrive at a new office without a floor plan waste hours asking questions.
Audit Your Inventory
A relocation is the ideal time to clear out what you do not need. Old IT equipment, broken chairs, outdated filing cabinets — dispose of these before the move, not during it. Every unnecessary item that goes on the truck is time and money wasted.
Two Weeks Before: Department-Level Preparation
Assign a relocation coordinator from each department. Their job is to ensure their team's area is packed, labelled, and ready by end of business Friday.
Label Everything Consistently
Create a labelling system before packing begins. Each box, monitor, chair, and filing cabinet should carry a label with the department name, employee name if applicable, and the destination room in the new office. Use colour-coded tape for departments — it makes sorting at the new office fast and error-free.
Back Up All Data
Before any IT equipment is disconnected, ensure full data backups are complete. Use cloud backup and a local external backup for critical systems. This is not a moving task — it is a risk management task that must be completed before Saturday.
Friday: The Last Day in the Old Office
Friday is when everything comes together for the move. By end of business Friday:
- All personal desk items should be packed in labelled boxes
- All computers and monitors should be disconnected, wrapped, and placed near workstations
- All filing cabinets should be locked or contents boxed separately
- All kitchen and common area items should be packed
- Cleaners should do a final sweep so the old office is left in order
The movers will arrive Saturday morning. Do not leave packing for Saturday — it will slow everything down and risk spilling into Sunday.
Saturday: The Move
The packers and movers team should arrive at the old office early — ideally by 8 AM. Your internal coordinator should be present to supervise. Key tasks for Saturday:
- Heavy furniture — desks, conference tables, server racks — goes first
- Filing cabinets and document storage next
- IT equipment in padded crates last, with the most fragile items in the final load
- At the new office, direct traffic using your floor plan: each department's items go directly to their designated zone
Do not let movers make decisions about placement. Have your floor plan printed and someone stationed at the new office entrance to direct every item.
Saturday Evening: IT Setup Begins
Once furniture is placed and boxes are in the right zones, your IT team begins work. Network cabling, server installation, and desktop reconnection are the long tasks. Start these as early Saturday evening as possible.
Prioritise in this order:
- Internet connectivity and router setup
- Server room and data infrastructure
- Core workstations — leadership and client-facing teams first
- Remaining workstations and peripherals
Sunday: Testing and Final Setup
Sunday is your buffer day. Use it to:
- Test all workstations — internet, phones, and printers
- Complete any unfinished furniture assembly
- Set up the kitchen and common areas
- Resolve any items delivered to the wrong location
- Walk through each department zone and check the floor plan is complete
By Sunday evening, the office should be functional, clean, and ready for Monday.
Monday: Business as Usual
Send an all-staff communication on Sunday evening confirming the new address, parking instructions, and any changes to entry procedures. Employees should arrive Monday morning to an office that is operational — not in boxes.
That is the goal of a weekend office move. With four weeks of preparation, a disciplined Friday handover, and a trusted moving company, it is entirely achievable.
